The HVAC Dispatcher maintains the live service board and the flow of information among customers, technicians, installers, and the office. This person records complete requests, schedules and adjusts appointments inside company rules, communicates changes, maintains accurate work-order notes, and escalates technical or policy decisions to an authorized person.

Set responsibility boundaries before posting

Write down who can classify job types, approve priority, change an arrival window, authorize overtime, move a maintenance visit, interrupt an install, schedule a callback, and accept work outside the normal zone. The dispatcher applies those rules. The service manager or other qualified person owns the decisions your policy reserves.

The dispatcher records the customer's words and coordinates the next administrative step. The dispatcher should not diagnose equipment, decide a safety response, provide technical instructions, or invent code guidance. If the intake does not fit a reviewed rule, the record needs an escalation owner and a promised update time.

If the role also answers every call, renews maintenance agreements, follows up replacement estimates, orders parts, closes invoices, and manages general office work, label it honestly as a combined role. Then reduce competing duties or change the scorecard. A job ad should describe the shift a person can actually perform.

Interview for HVAC dispatch judgment

Ask each finalist the same core questions and score the same evidence. Test intake quality, board reasoning, communication, documentation, and escalation. Do not test whether an office candidate can diagnose an HVAC problem.

  1. Tell me about a live schedule you had to rebuild. What changed, who needed an update, and what did you document?
  2. How would you separate service, maintenance, install, callback, and return-trip work on one board? Listen for visibility and ownership, not a universal priority order.
  3. What facts do you need before assigning a job? Strong answers include the company's job type, skill rules, location or zone, schedule status, and decision boundaries.
  4. Describe a time you lacked enough information to act. What did you ask, and when did you escalate?
  5. How would you tell a customer that an arrival window changed? Look for prompt, specific, calm communication without unauthorized promises.
  6. What do you do when a technician's field status conflicts with the board? Look for verification, a recorded correction, affected-customer updates, and follow-through.
  7. How do you keep a promised callback from disappearing? Look for a system of record, an owner, and a due time.
  8. How do you close before after-hours coverage begins? Look for the on-call roster, open exceptions, unreturned messages, known schedule risks, and next-action owners.

Rebuild a mixed HVAC service board

Give the candidate a fictional board with three service technicians, one installer who is unavailable for service, a maintenance visit, two service calls, a callback, a parts-related return trip, stated zones and skills, one cancellation, and one technician running late. Provide written company assignment and escalation rules.

  1. Ask the candidate to identify missing information before moving anything.
  2. Ask for a revised board and a note explaining each change against the provided rules.
  3. Ask for one customer update and one technician update in writing.
  4. Add an ambiguous technical question. The correct action is to route it to the authorized reviewer, not answer it.

Score 0, 1, or 2 on each: information completeness, rule use, board logic, customer communication, technician communication, documentation, and escalation. Fourteen points is the maximum. Decide your acceptable threshold before seeing candidate results.

Manage the first month as a controlled handoff

Start with observation, current technician skill and zone records, the service-versus-install boundary, the maintenance schedule, the on-call roster, and a written escalation map. Review a small sample of intake records, assignments, and customer updates each day. The purpose is to reveal the shop's real rules before asking a new person to carry them.

During weeks two and three, transfer routine decisions that fit the written lane. Keep technical judgment, safety questions, job-type ambiguity, unusual pricing, overtime, and commitments outside policy with authorized people. Record unclear cases, decide them once, and improve the playbook.
